Compressing Image to insert in Document
When needing to insert images into a Word document or a Powerpoint presentation it is best to first:
- Export the image out of Photos
- Save to a Folder
- Compress the image
- Insert compressed image into document
This will help manage the total file size of your Word document or Powerpoint presentation, which can cause issues making the file crash or corrupt due to size.
Step 1 - Photos and Save to a Folder
Select photo from the Photos app. Click on File > Export > Export 1 photo.

You can leave the default settings and click on Export.

A Finder window will open and ask where you wish to export the photo.
We recommend creating a New Folder on your desktop and then click on Export

Step 2 - Compress the image
Once you have saved the image to your New Folder, you then need to Control-click the image, then choose Quick Actions. You need to choose Convert Image. You may want to experiment with different options:
- Actual Size of image was 2.5 MB
- Large converts to 300KB
- Medium converts to 90KB
- Small converts to 29 KB

Step 3 - Insert compressed image in document
Once image compressed we would recommend moving the photos to your Onedrive for safe storage and then inserting in your document.
